1️⃣ Happy Profit Distribution Day??
One of the key elements of Profit First is Profit Distribution Day—rewarding yourself every quarter from your profit pot. This isn’t just about the salary you pay yourself or covering your tax and expenses. It’s an extra pot set aside specifically to reward yourself as the business owner. I’ll be honest, for the first few years, I didn’t do this because I didn’t have a system in place. But now, it’s one of the best parts of running a business. Even if you start small—perhaps treating yourself to a nice meal or a bottle of champagne—it's a powerful reminder of why you work so hard. Over time, these rewards can grow into something more substantial, like a holiday. The key is building the habit of rewarding yourself without guilt and without jeopardising your business. It’s all about working within the boundaries of Parkinson’s law, where we intentionally budget for profit, rather than just spending whatever’s available.
2️⃣ Zapier for Automation
Next, I want to talk about Zapier and automation. For those of you who already know Zapier, bear with me. For those who don’t, Zapier is an amazing automation tool that allows different apps to communicate with each other. For example, if you’re running Facebook ads and a lead signs up, Zapier can automatically send that lead into your CRM or even schedule them into your calendar. We’ve used it in my business to reduce some of the repetitive admin tasks, which has freed up our team to focus more on client service. It’s not about replacing people—it’s about giving us more time to focus on the things that actually add value, like talking to clients and solving problems. Automation is a big focus for us next year, so if this is something you want to explore, do get in touch!
3️⃣ Managing Deposits and Advances
A common challenge is managing money that comes in before the work is completed—like deposits. Imagine you’re a builder and a client pays you £30,000 upfront for a job that’ll take three months. It might look like a great month on paper, but realistically, that money needs to stretch over the entire job. I always recommend setting up a separate account for advance payments. In this case, you’d move that £30,000 into that account and release £10,000 per month as the work progresses. It’s a simple but crucial way to make sure you’re not spending money you haven’t earned yet. It gives you a much clearer idea of your actual cash flow and prevents nasty surprises later when you find out the cash is gone but the work is still ongoing.
4️⃣ Weekly Planning for Productivity
Another thing that’s really helped me is weekly planning. I don’t like starting a week by jumping straight into the chaos—emails, calls, problems that need solving. Instead, I always set aside time, usually on a Monday morning, to map out my week. This helps me to work on the business, rather than just in the business. Stephen Covey calls them “rocks”—the big, important things that will move your business forward. For me, this could be focusing on team training, developing new services, or working on marketing strategies. It’s all about being intentional rather than reactive, which is especially important as your business grows and demands on your time increase. Whether you do this planning on a Friday afternoon, Sunday evening, or Monday morning, the key is to have that moment to breathe and to prioritise what really matters.
5️⃣ Creating vs. Consuming
This next point has been a big mindset shift for me—balancing creating versus consuming content. In today’s world, it’s so easy to spend hours scrolling through social media, reading articles, watching videos, etc. But Brendan Burchard’s advice really struck a chord with me: as a business owner, I need to create more than I consume. Creating content—whether that’s these newsletters, videos, or even just developing new ideas for clients—is what adds value to the world. It’s what drives our businesses forward. So, my challenge to you is to think about how much time you’re spending consuming versus creating. Are you contributing your ideas and knowledge, or are you getting lost in other people’s? Let’s try to focus on creating value, whether that’s for clients, team members, or prospects.
